Education Coordinator, Full-Time

The Education Coordinator is an entry-level position with advanced responsibilities, primarily focused on coordinating reservations for the Museum’s school programs and adult tours, delivering museum-based and outreach programs, and supporting other department members as necessary. This role demands a sociable, approachable demeanor along with robust organizational and computer skills, requiring a high level of independent decision-making. The Education Coordinator may occasionally be required to lead programs and assist with events outside of regular museum operating hours.  

Responsibilities to School Programs and Adult Tours

  • Manage reservations for school groups, community groups, and adult groups participating in museum-based and outreach education programs, utilizing the Museum’s scheduling and database system, Altru by Blackbaud. 
  • Field phone calls and emails, recording essential information such as contact details, dates, times, and program preferences using Altru. 
  • Schedule holds in the calendar to mark potential programs before finalizing bookings. 
  • Prepare and issue confirmations and invoices for museum-based and outreach education programs and tours in advance of scheduled events. Proactively follow up with groups regarding any overdue payments. 
  • Process payments received from groups for programs in Altru. 
  • Maintain communication with other team members in the Audience Engagement department regarding managed programs. 

Other Responsibilities 

  • Teach museum-based and outreach programs and tours in art and science as needed.  
  • Provide coverage for lunch breaks for Visitor Services Associates when required.  
  • Undertake project-based tasks assigned to the position based on individual skill sets.   
  • Fulfill additional related assignments as directed, such as designing and developing lesson plans, conducting community outreach, etc.  

Education and Experience 

  • Bachelor’s degree in art, science, cultural history, education, museum studies, or related field, master’s degree preferred. 
  • Previous experience in non-traditional educational settings and handling teaching collections is essential.  
  • Proficiency in administrative work, particularly with scheduling software, is required, with experience using Altru by Blackbaud preferred.  
  • Fluency in a second language, preferably Spanish, is a plus. 

Recommended Skills and Experience

  • Excellent oral and written communication skills. 
  • Familiarity with and experience in implementing best practices in Museum Education. 
  • Proficiency in general office tasks, computer operations, and word processing. 
  • Enthusiasm for Museum Education and a desire to be part of a motivated team of educators.  
  • Valid driver’s license and clean driving record, with the ability to operate the Museum’s vehicle. 
  • Demonstrated ability to multitask, adapt to changing circumstances, troubleshoot, and take initiative. 

Working Conditions and Physical Requirements 

  • Work is primarily conducted onsite in a museum setting, encompassing office environments, workshops, exhibitions, and offsite educational spaces such as schools, offices, and community centers.  
  • Extended periods of movement throughout teaching spaces, both onsite and offsite, may be required without breaks.  
  • Capacity to regularly transport materials and equipment weighing up to 25 pounds.  
  • Ability to work during peak periods, including October 7th to December 20th and April 21st to June 20th for fiscal year 2025. Any extenuating circumstances beyond the employee’s control requiring an absence will be reviewed individually for approval.  

Compensation $24.72-$27.47/hour

Front Desk Coordinator, Full-Time

Job Summary:

The Front Desk Coordinator oversees daily front desk operations, ensuring that the Visitor Services Team can provide exceptional customer service and efficient visitor management. This role is responsible for scheduling the work hours and supervising the day-to-day activities of all full and part-time Visitor Services Associates. The Front Desk Coordinator will perform the daily responsibilities of a Visitor Services Associate four days a week and schedule one day for administrative tasks, at the Education Desk. Administrative tasks will include compiling monthly and program attendance numbers as needed and running a regular informational and planning Visitor Services Team meeting. The Front Desk Coordinator will work a 35-hour work week, including one weekend day, as well as select evening and special events, including the annual Craft and Arts Festivals and the Gala.

Duties/Responsibilities:

Team Management

Supervises Visitor Services staff, including scheduling, assigning tasks, and performance management.

Lead a team of Visitor Services Associates, fostering a collaborative and customer-focused environment.

Oversees scheduling and proactively ensures appropriate Visitor Services staffing levels for daily operations as well as off-hours activities and events.

Work with Audience Engagement to administer surveys or data collection projects as needed.

Customer Service

Staff the main desk four days a week, ensure that visitors receive friendly, courteous, and knowledgeable assistance from front desk staff.

Handle ticket sales, memberships, and retail transactions, ensuring accuracy and adherence to museum policies and procedures.

Maintain front desk supplies, including brochures, maps, and informational materials.

Respond to in person, phone, or email visitor inquiries, comments, and complaints in a timely and professional manner.

Explain and promote the value of memberships.

Administrative Duties

Run monthly general admissions reports Audience Engagement Department, ensuring all data is accurately recorded.

Work with the Development Department to ensure accurate records of museum members and to track attendance of programs and events.

Utilize Education Desk for weekly administrative tasks and responsibilities.

Collaboration and Communication

Coordinate with other museum departments to ensure seamless communication and collaboration regarding visitor services.

Participate in staff meetings, training sessions, and special projects as needed.

Create an agenda and oversee Visitor Services team meetings.

Participate in Audience Engagement Staff meetings, training sessions and special projects as needed.

Requirements/Education/Experience/Skills:

High School Diploma or equivalent preferred

Availability to work weekends, holidays, and evenings.

Professionalism, patience, and courtesy in all interactions

Excellent customer service skills

Strong interpersonal and communication skills

Experience in visitor services

Experience with Altru and POS systems a plus.

Seaside Center Naturalist

Seasonal, full-time position.

15 weeks beginning early-June through mid September, 2025
Five days per week, 10:00 AM – 6:00 PM (one-hour unpaid lunch break), Tuesday – Sunday, with flex day off. Must work weekends, Independence Day (July 4), and Labor Day (September 1).

Position and Responsibilities:

Teach on the beach out of Greenwich Point Park’s historic Innis Arden Cottage in a fun and collaborative environment this summer! Learn to seine for fish and other marine organisms, identify local species, care for the animals you catch in Seaside Center tanks, and teach the public about Long Island Sound ecology.

For over 50 years, the Bruce Museum’s Seaside Center has brought marine and environmental education to local families, and Summer Naturalists are a vital part of this beloved public institution. Educational activities developed in previous years include arts and crafts, science experiments, nature walks, and games. Interested naturalists are encouraged to develop and implement their own educational programs over the summer as well.

To provide content for families learning from home, summer naturalists write brief articles for the Bruce Museum blog, and provide content for Seaside Center social media accounts. Naturalists are given freedom to choose subject matter, and provided guidance as necessary.

This position requires a high degree of independence, comfort in working with the public and groups of all ages, and the flexibility to adapt to changing pandemic recommendations.

  • Oversees the operation of the Seaside Center as part of a two-person team.
